Frequently asked questions about data, privacy, and security
Copilot is built with enterprise-grade safeguards to keep your confidential information secure. Here are some of the most common questions we’re hearing from businesses about data protection and control with AI.
How can I control access to data and prevent oversharing?
Copilot follows the same security rules you’ve already set in Microsoft 365 so only those with the correct permissions can access the content it creates. That means no unexpected oversharing.
Before rollout, it’s a good idea to review your existing data access settings, retention policies, and sensitivity labels. These can all be managed centrally, giving you full control and peace of mind across every app.
What about eDiscovery and legal holds?
Copilot treats prompts and responses as your data. That means you can apply legal holds or search them using eDiscovery tools, just like any other Microsoft 365 content. All Copilot activity is also recorded in your audit logs, giving you full traceability if needed.
What if I don’t want every meeting to be recorded or transcribed?
You’re in control. Meeting organisers decide who can access transcripts, and everyone is clearly notified when a meeting is being recorded. Transcripts follow your organisation’s retention policies, which your IT team manages centrally.
If you’d prefer to use Copilot without leaving a digital trail, you can now enable it without recording or transcription. Copilot will still support the meeting by answering questions and surfacing relevant information but no record is saved once the meeting ends.
Are there copyright risks in using content generated by Copilot?
Microsoft stands behind the content Copilot helps you create. With the Copilot Copyright Commitment, if you use Copilot responsibly and follow the built-in content filters, Microsoft will defend your organisation against copyright claims and cover any resulting costs from judgments or settlements.
Where is Copilot data stored and processed?
Copilot is built into Microsoft 365, so all data stays within your region aligned with Microsoft’s data processing commitments.
For example, your organisation is based in Europe, Copilot operates within the EU Data Boundary to meet regional compliance requirements.
Will Copilot replace jobs or roles in my business?
Not at all. Copilot is designed to support your team, not replace them. It handles repetitive, time-consuming tasks like summarising emails or creating first drafts so your people can focus on higher-value work. It’s about boosting productivity, not cutting headcount.
